Every slide checked. Every room on cue.

Speaker Ready collects and checks your speakers’ presentations, then runs every room from one schedule: a holding slide for every programme item, Room Displays that show what’s on now and next, and the speaker timer on stage — with or without internet.

Your first event is free with up to 3 speakers. No card needed.

Before every talk: the holding slide for that schedule item, full screen on the projector.

One schedule drives every screen in the room.

Build the programme once. Speaker Ready turns every line of it into what the audience, the speaker and the crew need to see — at the right moment.

Holding slide per schedule line

The right slide on screen before every talk, break and session.

Upload an image or a looping video for each line of the schedule: a speaker intro, a sponsor slide, “Coffee break — we continue at 10:30”. No time to design one? Speaker Ready makes a title slide from the schedule itself — speaker, company, talk title and time, on your own background.

  • The technician cues it from the rundown with one click; it fades in full screen on a separate output.
  • Loading the next speaker on the timer cues their holding slide automatically.
  • Switch to black at any time, or back to the slide during Q&A.
  • Every room has its own, and every slide is on the show computer — no internet needed.

Schedule & rundown

Rooms, speakers, breaks and other items per day. Each new item starts when the previous one ends, and every speaker has a maximum talk length. Technicians and stage managers follow the same live rundown with notes for the room.

Room Displays per room

What’s on now and next on a screen at every door, in portrait or landscape, on your own background image. When the day is over it shows tomorrow. Plus a full programme page for visitors and lobby screens.

Speaker timer

A countdown on the confidence monitor, controlled by the technician: start, pause, add or cut time, send a message to the speaker, or switch to the clock or black. The stage manager sees the same timer.

From call for slides to the last applause.

Prepare everything online with your team. Then take the whole event to the venue and run it locally, so a dropped connection never stops a session.

T – 4 weeks

Build the programme

Add rooms, speakers and breaks; start times follow on automatically. Add a holding slide to any line, and a background for the Room Displays. Every speaker gets a personal upload link — no account, no password.

T – 2 weeks

Speakers upload

PowerPoint, Keynote or PDF, plus fonts and video files. Each upload is checked within seconds, and the speaker sees what to fix. New versions replace old ones; the old ones are kept.

T – 1 day

Take it to the venue

One sync code brings the whole event — schedule, presentations, fonts, videos, holding slides and Room Display backgrounds — onto a show computer in every room. With internet they stay in live sync; without it, everything keeps running.

Showtime

Run every room

The technician loads the next speaker: their holding slide goes up, the timer is ready, the files are on the laptop. The Room Display moves on to what’s next, and the stage manager follows the live rundown.

Problems found at home, not in the preview room.

Speakers see the check result the moment their upload finishes. They fix it from their own desk — instead of ten minutes before their slot, on a laptop that isn’t theirs.

The check looks inside every PowerPoint, Keynote and PDF file: video and audio that is linked instead of embedded, media missing from the file, web links that don’t load, fonts the show computer won’t have, video codecs that won’t play on Windows or Mac, and slides that aren’t 16:9.

Organiser

Programme, rooms, speakers, talk lengths, holding slides and Room Display backgrounds. One overview of who has uploaded and what still needs fixing.

Speakers

A personal link to upload slides, fonts and videos, see the check, and leave notes for the technician.

Preview room

Speakers open their file, make last changes and mark the final version — the crew sees it instantly.

Technician

Pick the room, follow the rundown, put each item’s holding slide on screen, open the files, and run the timer and messages to the stage.

Stage manager

The live timer, the message on the speaker’s screen, what’s next and every note for the room.

Audience

The holding slide on the projector between talks, a Room Display with now and next at every room, and the full programme for visitors.

Built for venues with bad Wi-Fi.

Online is where you prepare. The show runs on the venue network — and when there is internet, every room stays in sync with the website.

  • The desktop app for Mac and Windows runs the event locally — one computer per room, or one for the whole venue that every device connects to.
  • Live sync: a new version uploaded online or in the preview room reaches every room within seconds.
  • Holding slides, Room Displays, timers and messages keep running when the venue’s internet drops.
  • The app can’t be closed by accident and keeps the show computer awake.
  • Every presentation also sits in a plain folder on the show laptop, per speaker, as a fallback.

Plan your event

Every account can build a trial event with up to 3 speakers, with all checks included. Buy the licence when you’re ready to take it to the venue.

Your speakers’ slides stay yours.

Presentations are often confidential until the moment they’re shown. That’s how we treat them.

Separated per organisation

Every event and file belongs to one organisation. Other accounts can’t list, open or change it — this is checked on every request on the server, and tested on every release.

Speakers see only their own talk

A speaker link opens that speaker’s sessions and nothing else. You can replace a link at any time; the old one stops working.

Encrypted in transit, never public

Everything travels over HTTPS. Files are never published at a public address — every download is checked against your login or the speaker’s link.

Delete means delete

Delete an event or your account and the files are removed from the server with it.

Questions

What is a holding slide?

The image or looping video on the projector before a talk, during a break or while the next speaker walks up. You can add one to every line of the schedule. Lines without one get an automatic title slide with the speaker, company, title and time. The technician shows it full screen on a separate output with one click, and can switch to black at any time.

What do the Room Displays show?

The room name, what’s on now with a progress bar, and what’s next — in portrait or landscape, on your own background image. They follow the schedule by themselves and move on to the next day when the programme is over. Any screen with a browser can be a Room Display.

Do we need internet during the event?

No. You download the event to the desktop app beforehand. Technicians, the preview room, stage managers, holding slides and Room Displays all run on the venue network. If there is internet, the show computers stay in live sync with the website.

Which files can speakers upload?

Presentations in PowerPoint (.pptx, .ppsx), Keynote (.key) or PDF, plus fonts (.ttf, .otf), video (.mp4, .mov and more) and audio files next to the presentation.

Can speakers change their presentation after uploading?

Yes, as often as they like until the event. Every earlier version is kept, so you can always go back.

What happens to changes made at the venue?

With live sync on, a new version uploaded in the preview room goes to the website and to every room within seconds — and when the internet is down, it is sent as soon as the connection is back. Older versions are always kept.

Who can see our presentations?

The people in your organisation’s account, and each speaker for their own talk. Nobody else — including other customers.

What do we get in the free trial?

A complete event with all features online for up to 3 speakers. To add more speakers and download the event for the show, buy the licence for the days and rooms you need, or start a subscription.

What happens if we need more rooms or storage later?

Extend the licence in the event’s Run the show tab — you only pay the difference. Storage above what you paid for is charged per GB; uploads never stop in the middle of your event.
