Who we are
Speaker Ready is operated by Speaker-ready.eu, Ambachtsweg 5G, 5531 AC Bladel, The Netherlands. Chamber of Commerce (KvK) number: 94467862. Contact: support@speaker-ready.eu.
Our role
For the data you put into your events (speakers, schedules, presentations and other files) we act as a processor on your behalf; your organisation is the controller. For your account details and billing we are the controller. A data processing agreement is available on request.
What we store
Account: name, e-mail address, organisation name, hashed password, login times. Events: rooms, speakers (name, e-mail, company), schedule, notes and uploaded files. Billing: payment references and amounts; card and bank details are handled by our payment provider Mollie and never reach us.
Why we use it (legal basis)
- Performance of a contract (GDPR art. 6(1)(b)) — your account, running the service you signed up for, support, and payments for your licence or subscription.
- Legal obligation (art. 6(1)(c)) — keeping billing records for the period Dutch tax law requires.
- Legitimate interest (art. 6(1)(f)) — keeping the service secure and reliable: login records, preventing abuse, backups and fixing errors. We weigh this against your interests and you can object (see “Your rights”).
- Consent (art. 6(1)(a)) — only where we ask for it, for example optional news e-mails. You can withdraw consent at any time.
For event data (speakers, schedules, presentations, and the invitations and reminders sent to speakers) we act on the instructions of the organisation running the event; that organisation determines the legal basis for it.
How we protect it
Each organisation’s data is separated from every other account and checked on every request. Connections are encrypted (HTTPS). Passwords are stored as salted hashes. Speaker links give access to that speaker’s own sessions only and can be revoked.
Where it is stored
On servers of Hetzner Online GmbH in Germany (EU). Backups: daily, with the last 7 kept (7-slot retention).
Processors
Hetzner Online GmbH (servers and data storage, Germany), Strato GmbH (domain hosting and incoming e-mail, Germany), Mollie B.V. (payments, the Netherlands), Lettermint (sending account e-mails, the Netherlands).
Retention
Event data stays until you delete the event or your account. Deleted files are removed from the server immediately and from backups within 7 days. Billing records are kept for 7 years as required by Dutch tax law.
Your rights
Under the GDPR (AVG) you have the right to:
- Access — see which personal data we hold about you and how we use it.
- Rectification — have incorrect or incomplete data corrected.
- Erasure — have your data deleted (“right to be forgotten”), unless we must keep it by law, such as billing records.
- Restriction — ask us to temporarily stop using your data, for example while a correction or objection is being looked into.
- Data portability — receive your data in a structured, commonly used, machine-readable format, or have it sent to another provider.
- Objection — object to processing based on our legitimate interest; we then stop unless we have compelling grounds that outweigh your interests.
- Withdraw consent — where we rely on your consent, withdraw it at any time, without affecting processing before that.
- No automated decisions — we do not make decisions about you based solely on automated processing or profiling.
You can view, correct, export and delete most of your data yourself in the app. For anything else, e-mail us; we answer within one month. We may ask you to confirm your identity first. Are you a speaker at an event? Then the organisation running that event is responsible for your event data; you can contact them, or us, and we will pass your request on and help them handle it.
Questions and complaints
Questions about this privacy policy or how we handle your data, and complaints, can be e-mailed to support@speaker-ready.eu. If you are not satisfied with our answer, you can also file a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.
